Sales Coordinator
The Sales Coordinator is responsible for executing product pricing and pre-order preparation. This position interfaces with the sales, design, and project management teams, maintaining timelines to ensure that Dupler Office completes all aspects of its fulfillment responsibilities. This position is also responsible for consistently demonstrating the Dupler Office Core Values and delivering the Dupler Office Client Experience with every client.
Primary Responsibilities:
Quote Management
Assists sales and project teams with quoting, discounting, product research, and technical order information
Collaborates and implements pricing strategy with sales team and principal for bid strategy’s
Works with sales and bid team to prepare PMX file for ancillary items
Fine tunes PMX file once completed by design with final pricing
Transfers pricing and final specification data from PMX to the company’s platform
Prepares the quote in system (CORE), reviewing and proofing order for basic information (ship to, bill to, contract number, etc.), accuracy, and completeness
Emails final quote and drawings to salesperson for final approval
Understands and executes contract pricing
Administers vendor quote management, ensuring that current vendor-specific quotes are saved in the filing cabinet and requesting updated quotes from vendors as needed. Completes new vendor and client set-up in system (CORE)
Administers purchasing contract management, retaining current vendor-specific contracts and requesting updated contracts from vendors as needed
Maintains a thorough understanding of vendor-specific contract pricing tiers and order entry specifications
Implementation
Reviews technical services plans and specifications for accuracy, completeness, and correct product application, as part of the pre-order final project audit, as necessary
Revises quote as necessary, based on pre-order project audit findings
Monitors deal statuses in sales system (HubSpot) dashboard to ensure it is correct
Partners with sales team in updating deal status in sales system (HubSpot) to support process moving forward accordingly
Participates in internal client meetings (Project Summary Review), generating and maintaining project listing spreadsheet
Communicates with clients, as necessary
Participates in team meetings with sales and design
Qualifications:
Education: Bachelor's degree preferred or equivalent experience
Experience: 3 years of project management, furniture pricing, or commercial design experience preferred
Skills:
Excellent communications skills, both verbal and written
Ability to read and understand construction drawings, furniture specification plans and other architectural drawings
Strong product and technical knowledge, including applicable building codes, product application, custom pricing, estimating and solicitation
Strong interpersonal skills
Proficient computer skills (MS Word, Excel, Project, and PowerPoint)
Ability to prioritize and manage multiple tasks
